THE ROLE
The Faculty of Science & Engineering (FSE) is seeking a proactive and skilled Senior Executive Assistant to provide executive administrative and operational support to the Faculty Executive Dean.
Working as part of a professional team and reporting to the Faculty Executive Director, you will ensure the smooth running of the faculty portfolio and:
Act as the Executive's point of contact, analysing and actioning requests to prioritise urgent and often sensitive matters, and taking decisive action to facilitate the optimal use of the Executive's time
Manage the administration functions associated with the application and implementation of university policies and procedures across the faculty to ensure they are embedded and operating as intended
Prepare, review, and manage all communications issued from the Executive Dean's desk to support the achievement of business requirements
Research, analyse, collate, and prepare reports to support opportunities to enhance informed decision making, planning and efficiency
In partnership with key stakeholders, coordinate projects, programs, and services that impact the Faculty
Lead continuous improvement of relevant operational processes, standards, and procedures to ensure operational tasks are performed reliably and consistently
Contribute to the development of administrative capability, including knowledge sharing and coaching for executive support staff across the University
About You
You will be a proactive and high performing individual with the capability to build, develop and maintain strong relationships with staff at all levels of the organisation. You will bring your own extensive planning, administrative and operational expertise along with the demonstrated ability to interpret and apply your existing knowledge of Higher Education to the delivery of service, support and projects and to advice others in the implementation of these.
You will possess strong analytical and problem-solving skills and be known for your sound judgement and considered approach to decision making. You will possess the ability to articulate and communicate information and advice effectively to different audiences and will be skilled at negotiating and facilitating the achievement of organisational goals. You will be comfortable with complexity and known for your ability to maintain confidentially and deal with sensitive matters discretely.

Bachelor's degree or qualification and extensive administrative/operational experience coupled with demonstrated experience in Higher Education (experience in science and/or engineering will be highly regarded)
Strong service ethic including excellent communication skills (both verbal and in writing) and a track record of enhancing portfolio reputation through superior service delivery at executive level
Demonstrated track record providing advice on a range of policies and procedures, including the interpretation and application of these across a complex faculty or portfolio
A considered, analytical, and creative approach to problem-solving
Excellent collaboration, influencing and negotiation skills, including the ability to develop and maintain relationships with a diverse range of stakeholders both internal and external to the university
Demonstrated track record of dealing with sensitive or confidential matters with empathy and discretion
Strong organisational and time management skills including the ability to undertake complex planning and manage multiple competing priorities
