Your new role An exciting opportunity exists for an experienced Project Assistant to join our vibrant Projects team. This role coordinates logistical arrangements and administers associated contracts for minor new works and/or the relocation of furnishings and equipment. You will liaise with relevant members of the Projects team, contractors, installers and suppliers to ensure that all move management or new minor works requests are on track whilst providing on-site inspection at the completion of fit-out/completion of works, solving on-site problems pro-actively and in a timely manner.

This position primarily involves administrative duties such as data entry, invoice payment, order placement, contractor collaboration, and management support. The ideal candidate must possess exceptional initiative, self- motivation, and interpersonal skills. This role encompasses diverse responsibilities and necessitates an efficient individual with excellent time management skills who thrives in a team-oriented setting.

You will bring to the role

  • Demonstrate ability to apply project and contract administration knowledge, experience and skills.
  • Demonstrate experience in the administration of basic contracts and an understanding of the requirements to meet statutory and compliance requirements applied to the building industry.
  • Strong interpersonal and oral communication skills with ability to identify and interpret customer needs and to communicate factual information on a diverse range of work procedures and activities in a concise and professional manner.
  • Excellent time management skills and ability to organise work activities, to meet deadlines and multiple work demands with conflicting priorities.
  • Intermediate skills and experience in the use of the Microsoft suite of software together with a demonstrated ability to enter, extract and manipulate data within PF&D specific systems as required.
  • We are looking for someone with

  • Demonstrated work experience as an Administrator
  • Excellent oral and written communication
  • Previous experience using Facilities Management Software advantageous (eg QFM, ARCHIBUS)
  • Intermediate experience in the use of the MS Office Suite
  • The ability to work effectively within a team environment
