Pavilion Administrator - Part Time (50% FTE) Permanent

The Department:

The Department of Applied Mathematics and Theoretical Physics (DAMTP) is a large department with around 50 academic staff, 100 contract research staff and a team of 25 Professional Services staff. DAMTP sits in the Maths Faculty with the Department of Pure Mathematics and Mathematical Statistics (DPMMS) and some professional service operations are shared across both departments. The site is made up of 8 buildings known as Pavilions.

The Role:

With an emphasis on customer service, you will be the first point of contact for academic staff, research staff and students who sit in Pavilion G, one of the pavilions in the Department of Applied Mathematics and Theoretical Physics. As Pavilion Administrator you will be delivering administrative support to the members of the pavilion, undertaking duties of an administrative nature and providing secretarial support including diary management, organising and supporting meetings, conferences and summer schools, accommodating visitors, managing/updating mailing lists and databases, and space planning within the pavilion to name just a few!

The role is a busy and varied one and no two days are the same! The academics within the pavilion run weekly seminars, meetings, summer schools and conferences which you would help with organising including emails, accommodation, refreshments, registration, and support on the day(s) of the conference/meeting to ensure the smooth running and assist the organisers and delegates as needed.

The role supports all new staff and students who join the department and University and also welcomes academic visitors to the pavilion helping to set up access, desk space and access to computing accounts, as well as helping them to settle into both the pavilion and department.

You will work both independently in the pavilion and as part of the Administrative Team which consists of PA to the Head of Department, PA to the Business and Operations Manager, 2 additional Pavilion Administrators and 2 Group Administrators. The aim of the team is to provide support at busy periods and cover holiday/sickness. DAMTP is an exciting and vibrant department to work in with a close-knit and supportive administrative team.
