Executive Administrative Assistant

Description

Hybrid Position: This position does not require an employee to be onsite full-time but the general expectation is that the employee be onsite an average of three (3) days each week.

The Role

This position will provide administrative support to the CFO of GMNA as well as to a few other Finance Executives on the team. Work includes various tasks such as calendaring, scheduling, and administrative support. Position requires a high degree of accuracy and coordination – both within the Finance team as well as the broader GMNA team.

What You'll Do

  • Schedule and coordinate extensive, and sometimes complex, meetings and maintain multiple calendars, meeting distribution lists, etc.

  • Support travel arrangements and associated expense reporting

  • Support the development of various PowerPoint presentations, written reports, etc.

  • Complete various ad hoc assignments as requested with minimal supervision

  • Maintain electronic filing system, records, confidential files and GM specific reports

  • Manage team's completion of required corporate training and other programs (ILM)

  • IT / Cell phone / Phone / Conference Call assistance

  • Manage office environment, including handling mail, ordering supplies, maintaining office equipment, etc.

    Your Skills & Abilities (Required Qualifications)

  • High School diploma or equivalent is required

  • Minimum of 5+ years of supporting Executive Leadership in an administrative capacity

  • Demonstrated planning and organizational skills

  • Ability to handle multiple requests simultaneously

  • High level of interpersonal skills, including collaboration

  • Highly proficient oral and written communication skills

  • Demonstrated ability to take initiative, problem solve, and work independently

  • Advanced level of proficiency in software (MS Teams, Word, Excel, PowerPoint, Outlook, SharePoint, etc.)

  • What Will Give You A Competitive Edge (Preferred Qualifications)

  • Associate degree or Bachelor's degree is preferred

  • Professional training and/or certification(s) in Administrative Skills/Support is preferred
