    Position Summary

    The position involves in various levels of major university event management in contributing to event administration, logistics arrangement, preparing supplier/ vendor procurement documents, event items ordering, follow-up and receipt, as well as providing on-site support in organizing, managing and delivering events.

    This is an 8-month contract position.

    Reporting Line

    Reports to: Events Specialist

    Key Accountabilities

    Major University events

  • Manage bookings for internal facilities and external venues of major university events held in Hanoi, organize, and arrange venue-owned equipment, technical devices, items and materials.
  • Draft event goods and service contracts based on the standard templates for review and finalization.
  • Make event logistics orders, request quotations from vendors, schedule follow-ups for proof printing, samples, and delivery, receive goods, complete liquidation.
  • Coordinate with relevant internal stakeholders, external suppliers, and vendors. Use confidential, effective, and professional communication in all dealings with internal and external contacts.
  • Provide on-site logistics support to all university major events including setup & teardown, coordinating with suppliers, volunteers, and casual labors.
  • Event-related Services

  • Support University Events team in providing event-related services to other event organizers from Schools, Divisions and Departments in Hanoi where appropriate. This includes on-site technical support, setup and teardown monitoring and logistics arrangement.
  • Administration

  • Maintain files and records related to the Hanoi Events Office.
  • Recording Hanoi Events fixed assets, reporting Hanoi Events monthly operation expense, and ensuring all processes and documents are endorsed and approved in a timely manner.
  • Maintain supply of material resources, stationery, office supplies and equipment in Hanoi Events Office.
  • Assist with other projects and executive secretarial and administrative duties as required.
  • Key Selection Criteria
  • Bachelor's degree in business administration or relevant discipline.
  • Experience in event logistics support, procurement of event items and administration tasks.
  • Well-developed interpersonal skills including coordination, liaison, and communication, both written and spoken, in English and Vietnamese, across a broad range of stakeholders
  • Well-developed planning, organisational, analytical and problems solving skills, working independently, or as part of a team.
  • Attention to detail, accuracy, and security when managing information.
  • Demonstrated good knowledge and experience with computer software and platforms, including databases, spreadsheets, presentation software, apps and social media, and graphic design tools.
  • Excellent critical reasoning and problems solving skills.
  • Ability to display appropriate behaviours in line with the position and RMIT Values.
  • English Proficiency

    English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) score of at least 5.5 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).

    For any role, English Language Proficiency may also be proven by showing successful completion of secondary education to a level qualifying to enter university study while being instructed through the medium of English, as per the RMIT University recognised qualification list.

    The Royal Melbourne Institute of Technology usually known as RMIT University is a research university established in Melbourne, Australia. The university has got a huge campus and has international recognition for providing brilliant vocational and professional education, applied research and other things. Francis Ormond laid the foundation for the university in 1887. It initially began as a night school where courses related to technology, art, and science were offered to students. The university was granted the title of the public university in 1992.
    RMIT University enrols almost 87,000 students every year, including 34,347 international onshore and offshore students. University also earns $54.1 million through their research income.

    The university holds 11th rank in the whole world in the field of art and design subjects. The main campus of RMIT University is in the centre of Melbourne city and has got huge heritage value as the campus is located in the oldest section of the city. Other two campuses of the university in Australia are Bundoora Campus and Brunswick Campus. It also has two regional sites and two campuses in Vietnam and a centre in Spain. Since then the campus has developed to 87 buildings.
