Essential Job Duties

The COSS Office Assistant is a member of the staff of NC State University and the North Carolina Cooperative Extension (NCCE). The Office Assistant's primary responsibility is to provide receptionist and generalized office support where assigned. The performance of assigned responsibilities is governed by the philosophy, objectives, policies, and procedures of the NCCE. Under limited supervision, the COSS Office Assistant performs office and administrative duties that support office workflow and the staff in their duties. Functions and duties are performed at a level of moderate complexity and some tasks have a confidential nature. Employee must exercise considerable tact and courtesy in dealing with the public. May report to a working administrative supervisor, agent, program professional, senior manager or director as assigned.

Primary Function of Organizational Unit North Carolina Cooperative Extension gives our residents easy access to the resources and expertise of NC State University and NC A&T State University. Through educational programs, publications, and events Cooperative Extension field faculty deliver unbiased, research-based information to North Carolina citizens.

Other Work/Responsibilities

Essential Functions: 1. Receives telephone calls and visitors; gives out information regarding program activities; refers caller to appropriate program area or personnel. Responds to inquiries from the public by telephone, e-mail and in person regarding programs, related program services and upcoming events.

2. Reviews incoming mail; routes and delivers mail to appropriate staff. 3. Maintain a supply of publications available for the public. 4. Welcoming and registering participants and collecting fees for events. 5. Assists with monthly bulletins, holiday flyers and other distribution outlets. 6. Oversees printer, office supplies and other inventories.

7. General office assistance for staff as needed.

Additional Functions: Performs other related work as required or assigned.

Work Schedule Monday - Friday, 8:30am-5:00pm Minimum Experience/Education

Graduation from high school and two years office assistance and secretarial experience; or equivalent combination of training and experience.

Department Required Skills

Ability to operate standard office equipment including printers, computers, projectors, and photo copiers.

Ability to communicate effectively with clientele and work in a dynamic and fast paced team environment.

Organizational skills and ability to multi-task.

Requires the ability to exert up to 50 pounds of force occasionally, and/or up to 25 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

Requires the ability to maintain body equilibrium when bending, stooping, crouching, climbing, reaching and/or stretching arms, legs, or other body parts, and to physically maneuver upon varying terrain, surfaces, or physical structures.

Preferred Years Experience, Skills, Training, Education

Experience in customer service.

Skills in computer applications and software such as Microsoft Word, Adobe, Publisher, Excel Spreadsheet, Internet Explorer, Canvas, Eventbrite and PowerPoint.

General understanding of HTML is preferred.

Willingness to learn new relevant software programs as they become available.

Required License or Certification

Valid driver's license and reliable, personal transportation required.
