General Information

The Office of Parent Relations at James Madison University is currently seeking applicants for the position of Associate Director. The Office of Parent Relations provides parents and families of current students with programs, services and information that heighten their awareness of the JMU community. The office provides parents and families with a better understanding of the student experience to support student learning, academic and social growth.

Reporting to the Director, the Associate Director of Parent Relations is responsible for fundraising, planning and executing programs and projects that strategically engage parents and families of JMU students through institutional support and service. The successful candidate will be responsible for developing and implementing programming and communication initiatives that promote engagement and involvement.

Duties and Responsibilities

Event, Relationship and Data Management:

  • Collaborate with campus partners to support, develop and execute programming and events that engage parents and families with the university.
  • Collaborate with Advancement Marketing and Assistant Director to create and execute targeted communication strategies that increase engagement and participation among parents and families.
  • Maintain accurate and up-to-date records of all participation and donor interactions in the Advancement information system.
  • Family Weekend – Chairs Family Weekend Committee. Manages coordination and organization of weekend activities. Works closely with Assistant Director on communication strategies for events. Coordinates all contractual and financial agreements for activities with internal and external vendors.
  • Contracts – Works within university event management systems and processes to ensure annual space reservations are secured for major on-campus events (e.g. Family Weekend and Parents Council). Collaborate with Procurement to ensure external contractual agreements are aligned with university policies.
  • Board management – Serves as board manager of the Parents Council coordinating meetings, activities, and identifying and recruiting volunteer opportunities. Including working with the director to develop a recruitment plan, application, interview, and final selection processes along with managing on-boarding. Manage all aspects of organizing efficient and effective meetings, including minute taking during summer planning meeting. Work with the director to create and maintain policies and procedures governing the board. Collaborating with development team on identifying and developing strategies for cultivating members to connect with and philanthropically support areas of personal interest. Collecting and utilizing members' KSAs to identify further engagement opportunities campus wide.
  • First-Year Send Offs – Coordination of ten in-person and three live streaming send offs including identifying key geographic areas for events based on incoming student populations, assigning Parents Council event hosts, securing venues and catering, developing communication plan with Council members and campus partners, and working with Coordinator on managing registration details.
  • Assessment & Analysis – Develop and implement evaluation standards for all programs to improve effectiveness and inform decisions about future opportunities. Research and develop new initiatives and services that enhance the parent and family experience and support student success. Develop, conduct, and analyze engagement surveys of current JMU parents/families. Analyze and distribute results to key partners.
  • Fundraising:

  • Manage all programmatic and tactical aspects of parent and family giving: In close coordination with the Director of Annual Giving and JMU's overall annual giving strategy, develop and implement a comprehensive solicitation strategy for parents and families.
  • Increase number of leadership-level donors from parents and families.
  • Increase number of donors from family constituencies.
  • Increase overall dollars raised for the Parents & Families Fund.
  • Work closely with the Annual Giving Coordinator and the Office of Donor Relations to properly cultivate and steward parent and family donors.
  • Collaborate with Development, Principal Relationships and Advancement Planning and Operations in the identification of prospective parent and family donors to build a pipeline of leadership gift to major gift donors.
  • Develop peer-to-peer fundraising strategy and materials to implement with the Parents Council members in close collaboration with the Director of Parent Relations.
  • Assessment & Analysis – Maintain working knowledge of annual fundraising strategies targeted at parent and family giving. Analyze giving trends (both internally at JMU and industry-wide) of parent and family constituencies to set annual fundraising goals and objectives. Make tactical adjustments to annual fundraising plan to achieve annual parent and family giving goals.
  • OPR Team Member:

  • Serve as supervisor of the assistant director, working closely on the development and implementation of effective marketing communications strategy by following university branding guidelines and ensuring messaging and delivery mediums aligns with target market.
  • Qualifications

    Required:

  • Bachelor's degree
  • Minimum of 3 years of experience in fundraising, philanthropy, or related field within the higher education or non-profit sectors.
  • Demonstrated success in developing and implementing fundraising and engagement strategies.
  • Strong organizational, planning and project management skills, with ability to manage multiple projects simultaneously.
  • Demonstrated ability to work in a fast-paced and highly collaborative environment while also maintaining a strong attention to detail with the ability to work independently.
  • Commitment to inclusion and working with diverse populations.
  • Sound decision-making judgment and ability to maintain confidentiality.
  • Flexible work schedule with some evening and weekend work required.
  • Preferred:

  • Excellent oral and written skills and ability to develop content for print publications, website and social media.
  • Board management experience.
  • Outstanding interpersonal skills.
  • Ability to carry 50 lbs.

    The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety.
