Position Summary

The Assistant Registrar is responsible for NCAA eligibility evaluations, verification and accuracy of data input into the student academic record, maintenance of course equivalency and articulation tables, curricula update tracking, and the communication of deliverables of the Office of the Registrar. This position has shared responsibilities with NCAA certifications (40%), course articulation support (30%), and curricula update tracking (30%). This position is governed by state and federal laws and agency policy.

Job Duties and Responsibilities

● Assist in NCAA initial and continuing eligibility evaluations for all sports. Process class drops for all athletes. Evaluates student-athlete transfer credit to determine eligibility to maximize credits earned that will apply toward UCA degree completion.

● Assist in the maintenance of course articulation tables. Update existing table data when new information becomes available. Performs data entry into complex databases, systems, and websites, keying in information and developing queries to gather information and reports. Input curricula updates into campus information systems based on the guidance of the Curricula and Technology Coordinator and the Associate Registrar of Technology.

● Provides training and guidance to the Registrar staff by establishing work plans, timeframes, and/or deadlines, providing general instructions, and reviewing the work performed to ensure technical accuracy and compliance with instructions or established policies and procedures, Performs other duties as assigned.

Knowledge, Skills, and Abilities

● Knowledge of computers and software application programs. ● Knowledge and use of NCAA technology system CA (Compliance Assistant). Possess knowledge of NCAA eligibility bylaws with a strong emphasis on Progress Toward Degree requirements. ● Knowledge of database management and basic accounting principles. ● Ability to conduct research and perform basic quantitative quality assurance reviews ● Ability to plan, organize, and coordinate activities, resources, and materials associated with the needs of the department or program. ● Work closely with the following departments: Athletic Advising, Academic Advising, and NCAA athletic Compliance Coordinators. ● Ability to counsel students and families.

Required Education and/or Experience

The formal education equivalent of a bachelor's degree in business administration or related field and two years of experience in higher education administration. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.

Preferred Education and/or Experience

Knowledge and use of NCAA technology system CA (Compliance Assistant). Possess knowledge of NCAA eligibly bylaws with a strong emphasis on Progress Toward Degree requirements. Familiar with Academic Progress Rate and Banner.
