About This Role:

The purpose of this position is to provide administrative level support to the Director of Community Outreach and Student Services, Marketing Coordinator, Budget Manager, Executive Assistant, and Departments (as needed) as well as others within the College of Engineering at Lamar University. Position will also be responsible maintaining academic scholarships, assisting with senior design, career fairs, COE/LU events, guiding student workers and ordering dean's office consumables. The position will assist in conducting research in order to prepare briefing materials, coordinating travel, travel reimbursements, coordinating confidential and sensitive communications among the COE units and across campus. This position works closely with several COE and non-COE units. This position assists the Director of Community Outreach and Student Services, Marketing Coordinator, Executive Assistant, and Business Manager with special projects as needed.

Position Responsibilities:

  • Responds to routine & non-routine inquiries regarding COE and campus operations, policies and procedures. Forwards situations and issues presented by staff, faculty and external constituents to appropriate staff members for resolution.

  • Provides administrative and technical assistance on a wide range of special projects as assigned by Director of Community Outreach and Student Services, Marketing Coordinator, and Executive Assistant.

  • Functions as a gatekeeper to assure prioritization of the Dean's time. Responds to a wide variety of inquiries from faculty and staff. Uses multiple computer applications such as Banner, Argos, Ad Astra, Cardinal Purch, Scholarship Manager, and MS Office to support key administrative functions. Assists with the Director of Outreach and Student Services, Marketing Coordinator, and Executive Assistant task list and follow up activities to assure timely completion of projects. Assists in collecting and preparing information for use in discussions, internal and external meetings.

  • Assists in the development and management of database of contacts, initiatives and assignments. Records minutes or notes of meetings as required.

  • Functions as a resource to lower-level staff and students; provides coaching and training to ensure situations and issues are appropriately managed as well as forwarded to appropriate staff members for resolution.

  • Assist with the research/academic Centers' activities.

  • Process all departmental/student paperwork that comes from the departments/academic advisors/etc.

  • Run and provide Argos and other academic reports as needed.

  • Assist with college of engineering events.

    Minimum Qualifications

  • Two-year degree in related area or equivalent work experience.
  • Advanced technical and computer skills to support administrative functions including MS Office Suite with an emphasis on PowerPoint, Excel and database skills, electronic calendar management, various videoconferencing applications such as Zoom, MS Teams, MS Office, etc., email applications and Banner, Argos, Ad Astra, Cardinal Purch, MyScholarships.
  • Strong project management skills, strong attention to detail, and ability to multi-task with demanding timeframes.
  • Provides high quality customer service.
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff, both verbally and in writing, with excellent editing and proofreading ability.
  • Strong ability to work independently and as a team member.
  • Advising and counseling skills.
  • Ability to use high-level discretion and maintain a high level of confidentiality.
  • Diplomacy, professional appearance and demeanor, and excellent attendance.
  • Key Competencies: Excellent customer services skills as well as the ability to communicate effectively and efficiently both in writing and orally with industry leaders, representatives, faculty, staff, and students.

    Physical Requirements: Moving reams/boxes of paper and other supplies. Setting up (and tearing down) for events.

    Job Conditions: 8 am – 5 pm Monday – Friday, some early mornings, some evenings, some weekends. This is an on-campus position. Work is performed primarily in a standard office environment with extensive public contact and frequent interruptions.
