Position Details

General Statement

Montana 4-H is the youth development program of Montana State University Extension and is the largest, out-of-school youth development program in the state, reaching about 20,000 youth in all counties and reservations each year. In 4-H, youth learn skills that last a lifetime! 4-H offers more than 200 different projects and learning experiences that actively engage while having fun. 4-H projects rely on trained adult volunteers who work with youth as a partner and resource for learning. There are opportunities, from learning how to cook or sew to raising an animal, camping, science, technology and everything in between. 4-H offers youth a wide range of choices and opportunities.

Duties and Responsibilities

  • Complete all support tasks related to the financial and administrative operations of the 4-H Center including grants and contracts.
  • Provide administrative support to the 4-H Director, Specialists and Associate Specialists within 4-H Youth Development.
  • Work with the 4-H Foundation Business Operations Manager on combined projects
  • Manage financial responsibilities, provide reports from appropriate systems as needed, and interpret and follow up as needed.
  • Invoice counties, individuals, and others as requested by staff, process deposit slips for all cash and checks received.
  • Manage office inventory and take initiative to work with staff in refining processes and improving efficiency.
  • Complete all support tasks related to programming conducted by the 4-H Center.
  • Take ownership of 4-H newsletter and be responsible for 4-H website inquires.
  • Process volunteer background checks, report problems and follow-up with counties in collaboration with the 4-H Volunteer Specialist.
  • Serve as a technical and program resource to counties in using the statewide 4-H Online enrollment program. Collect county data and complete statewide enrollment report.
  • Participate in training and learn how to operate and use new 4-H Online enrollment program options.
  • Issue reminders and collect year end financial summaries from counties and file appropriately.
  • File required IRS documentation yearly and work with the IRS to resolve filing issues for counties.
  • Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative, business office management and operations experience.
  • Experience performing cost analyses of projects, and monitoring budget allocations.
  • Demonstrated experience organizing and managing events, prioritizing multiple work assignments, meeting deadlines and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
  • Proficient computer skills and ability to utilize a wide range of technology.
  • Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Experience in a 4-H Extension program.
  • Knowledge of organizational policies and procedures.
  • Experience creating publications and marketing materials, including formatting, printing and other basic computer graphic design.

  • Exercise good judgment and self-motivation; and represent 4-H and MSU Extension to others in a professional and courteous manner.
  • Have demonstrated ability to work independently with minimal supervision.
  • Position Special Requirements/Additional Information

    In addition to regular daytime office hours, this position requires occasional night and weekend work.
